ALIPSA VENTURES — REFUND & CANCELLATION POLICY
Scope: Applies to all bookings, deposits and payments for tours, safaris, transfers, accommodation and ancillary services booked through Alipsa Ventures (the “Company”).
1. Purpose
This policy explains Alipsa Ventures’ cancellation and refund terms to ensure fairness and transparency for our Guests.
2. Definitions
- Booking: Any reservation confirmed by the Company in writing.
- Deposit: An advance payment to secure a booking.
- Guest / Client: The person or party who made the booking.
3. Deposit & Booking Confirmation
- All bookings are confirmed only after receipt of the required deposit and written confirmation from Alipsa Ventures.
- Standard deposit: 30% of the total tour cost unless otherwise specified in a written quote or invoice. The deposit secures the reservation and covers initial supplier costs. (Where a different deposit amount is agreed in writing, that amount will apply.)
4. Cancellation by the Guest — Refund Scale
All cancellations must be submitted in writing (email) and are effective on the date that the Company acknowledges receipt.
Refunds for cancellations by the Guest will be processed on the following scale:
- More than 60 days before departure: Full refund of payments made less a 5% administration fee or the non-refundable deposit where applicable.
- 31–60 days before departure: 50% refund of the total booking cost.
- 15–30 days before departure: 25% refund of the total booking cost.
- Less than 15 days before departure / No-show: No refund.
Note: Specific supplier fees (e.g., airline tickets, some lodges, special permits) that are non-refundable will be deducted from any refund amount. The Company will notify Clients of any known non-refundable components at booking.
5. Cancellation by Alipsa Ventures
- Alipsa Ventures reserves the right to cancel a tour prior to departure for reasons including, but not limited to, insufficient numbers, force majeure, or supplier failure.
- If the Company cancels your booking for reasons within our control, you will be offered either:
- A full refund of all monies paid, or
- A comparable alternative itinerary (if available) of equal value.
- If the alternative is accepted and is of lower value, the price difference will be refunded.
6. Force Majeure and Safety
- The Company is not liable for cancellations due to unforeseen events beyond our reasonable control (e.g., war, terrorism, civil unrest, natural disasters, government travel restrictions, pandemics). In such events, Alipsa Ventures will:
- Endeavour to offer alternatives (rebooking, credit note) where practical; or
- Issue refunds where suppliers provide refunds or credit.
- Where suppliers (hotels, parks, carriers) issue credit notes instead of cash refunds, we may pass those credit notes to the Guest instead of offering a cash refund.
7. Refund Processing
- Refunds will be issued to the original form of payment unless otherwise agreed in writing.
- Alipsa Ventures will endeavour to process refunds within 30 days of receiving the confirmed cancellation and receipt of any necessary supplier refunds and documentation. Actual posting to the Guest’s account may vary depending on the payment provider or bank.
8. Non-Refundable Items
- Flights and other third-party transport booked at time of reservation that are explicitly non-refundable.
- Park fees, permits or specialist activity fees that suppliers designate as non-refundable.
- Any supplier cancellation fees charged to Alipsa Ventures.
9. Amendments / Changes by the Guest
- Requests to amend travel dates or passenger names should be made in writing. Amendments are subject to supplier availability and may incur amendment fees and/or differences in price.
- Amendment fees and the timing of the amendment will determine whether partial refund rules apply.
10. Credit Notes / Vouchers
When agreed, the Company may issue credit notes valid for a specified period instead of a cash refund. Credit notes are non-transferable except where expressly permitted, and are valid only for services supplied by Alipsa Ventures.
11. Travel Insurance
Guests are strongly advised to purchase comprehensive travel and cancellation insurance that covers medical expenses, trip cancellation, interruption, and loss of personal effects. Insurance should be obtained at the time of booking.
12. How to Cancel or Request a Refund
All cancellations and refund requests must be sent in writing to:

Include: booking reference, lead passenger name, reason for cancellation, and payment details for refund.
13. Dispute Resolution
Any disputes regarding refunds that cannot be resolved amicably will be handled under the laws of the country of incorporation of Alipsa Ventures and submitted to the competent courts or agreed alternative dispute resolution mechanism.
14. Amendments to this Policy
Alipsa Ventures reserves the right to amend this policy. The version in effect on the date of booking will apply to that booking.
